Education Coordinator
JOB PURPOSE:
The Education Coordinator in the St. Ann’s Education Department is to provide office management, administrative support to the Associate Director of Education and Staff Education personnel. The Staff Education Coordinator will plan and implement education strategies for departments within the organization. The position ensures compliance requirements are met, adheres to program guidelines, and develops, manages and monitors special projects/programs.

ESSENTIAL JOB FUNCTIONS:
• Assists the director with the development of an internal education programs for continuing education needs and requirements.
o Plans, develops, manages and evaluates special-topic education programs.
o Assists the director in reviewing, evaluating and reporting on continuing education programs.
o Acts as a liaison to other departments regarding continuing education requirements /inquiries.
o Monitors compliance related to mandatory in-services, CPR certifications, continuing education credits and other required in-services for the nursing staff.
o Acts as (AHA) CPR administrator and periodically teaches CPR as needed
o Manages and evaluates vendors and consultants as they relate to continuing education services.
o Composes, designs and edits correspondence, reports, forms & teaching materials relative to functions of the Staff Education Department.
o Produces designated reports by tracking, researching, compiling and editing data.
o Coordinates special projects as required (e.g. guest speakers).
o Researches, acquires and negotiates contracts with vendors to provide opportunities for SAH employees, coordinating with other departments as needed
o Monitors implementation of program policies and practices
• Participates in budget preparation and manages department accounts receivable/payable.
o Responsible for ordering capital items and supplies.
o Prepares financial transactions for Manager’s signature.
o Participates in Grant management including researching supplies and record keeping.
o Coordinates with Foundation Staff as needed
• Drives continuous process improvement through initiative and innovation.
o Builds a strong, high performing team by acting as a positive role model; builds and supports respect at all levels. Takes direct action as needed.
o Focuses on staff engagement and retention.
o Involved in setting departmental and individual goals.
o Ensures quality control of compliance in documentation for all certified activities.
o Attends and actively participates in workshops, seminars and in-services to continue professional growth.
o Establishes quality control methods for self-performance in order to reduce or address potential errors.
o Coordinates community service and team building activities
o Arranges for ad hoc team meetings as needed to expedite communication and efficiency
o Supports program growth and development
• Provides office management and administrative support to Department
o Orders office supplies
o Files, copies, and edits presentations for grammar and formatting.
o Acts as resource person for computer-related activities for Educators.
o Makes room reservations as required. Specifies furniture, equipment and food set up as needed.
o Identifies ways to improve departmental efficiency.
o Facilitates arrangements for continuing education (e.g. seminars, inservices) for Staff Educators
o Maintains subscriptions to clinical resources
o Maintains a system for filing data (both paper and electronic)
• Manages Learning Management System (currently Day Force LMS)
o Maintains expertise in utilization of LMS
o Acts as a learning resource and liaison in use of the LMS
o Uploads and formats educational presentations
o Enrolls staff in education and communicates enrollment to appropriate staff
• Serves on various SAH committees as assigned
o provides committee reports/summaries to appropriate staff as needed
o Sends out Staff Education communication as needed/directed
• Manages clinical rotations for clinical students (Nursing, CNAs, Pharmacy, Therapy, etc.) from many local schools.
o Maintains records necessary for entrance to clinical sites including business agreements, clinical agreements, and mandatory information
o Maintains a database of all faculty/students
o Coordinates faculty/student orientation
o Coordinates student placement with appropriate leaders
o Coordinates with School leadership, EH, HR, and various SAH clinical leaders in placement and onboarding of students
• Maintains confidentiality of information of protected information including resident/patient/student information, personnel records, or schedules.
• Facilitates internal Nursing Assistant Teaching Program:
o Facilitates assessment of RSTs by Nurse Leaders
o Monitors and updates RST to CNA database
o Coordinates enrollment of all students
o Communicates important information to potential or existing students, faculty, nurse leaders, state and other departments (e.g. IT) as needed.
o Orders classroom and clinical supplies as needed
o Facilitates and coordinates ancillary education for students
o Facilitates and coordinates graduation ceremony
o Coordinates testing with the State
o Maintains mandatory records
• Facilitates the maintenance of updated certification for all St. Ann’s CNAs.
o Renews certification with the state as needed
o Communicates to CNAs as needed
REQUIREMENTS
Education: Associates Degree in related field and 2-5 years of office management experience
PHYSICAL REQUIREMENTS: While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel; and talk or hear. The employee frequently is required to reach with hands and arms. The employee is occasionally required to stand; walk; climb or balance; and stoop, kneel, crouch, or crawl. The employee must frequently lift and/or move up to 40 pounds. Specific vision abilities required by this job include close vision, distance vision, depth perception, and ability to adjust focus.

SAFETY RESPONSIBILITIES:
The employee is required to ensure personal safety, monitor work environment and make necessary improvements while ensuring the safety of others to include, adhering to regulations set by OSHA, DOH, and facility regulations, to include fire protection/prevention, smoking regulations, infection control, etc. Tasks involved in this position may involve potential and/or direct exposure to blood, body fluids, infectious diseases, air contaminants, and hazardous chemicals.
Maintain confidentiality of all information related to the organization, residents, participants, family and staff, that may be encountered, either formally or informally, during the normal course of business. This includes medical and treatment records, financial and human resources information

I understand that my employment is at-will and thereby my employment can be terminated at-will either by the facility or myself and that such termination can be made with or without notice. However, in the event that I chose to resign my position, I will give notice a minimum two week notice.
