POSTION OVERVIEW:
The Marketing and Communications Executive Assistant provides overall support to the Chief Marketing & Communications Officer and the Marketing team in a wide variety of areas. A successful Marketing EA will have a well-developed customer service orientation, is adept at problem solving, and is the consummate team player who is also capable of working independently.
CORE RESPONSIBILITIES include are but not limited to:
- Provide support for a variety of internal meetings that the department serves in, including meeting agendas, take and process minutes; track implementation of decisions
- Handle requests for marketing materials
- Help the department meet critical deadlines by keeping track of workflows
- Assist with monthly credit card reconciliation
- Maintain files of signed contracts and documentation
- Process the department’s accounts payable invoices with Finance
- Calendar management and appointment setting
- Prepare new vendor documentation as part of the vetting process
- Order one-off gifts and giveaways with vendors and Purchasing
- Assist team members with the production of signage and event materials, and with print production for any marketing print collateral
- Oversee requests for translations of marketing materials with outside vendors
- Organize mailings of marketing collateral to Jewish Board programs as needed
- Help monitor general Marketing email inboxes
- Pitch in and help with day-of activities fundraising events as needed (such as our annual Spring Benefit, Cycle of Support bike ride, and others)
- Provide backup to Executive Administration Team members as needed
- Understand and promote adherence to agency policies as well as DEI
- Other duties as assigned
REQUIREMENTS:
- Excellent verbal and written communication skills.
- Professional and tactful interpersonal skills with the ability to interact with a variety of personalities.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with proven ability to meet deadlines.
- Extremely proficient with Microsoft Office Suite or related software
EDUCATION and EXPERIENCE:
- BA in related field required
- Minimum of two years of work experience
