Assistant System Specialist - FULL-TIME - Graceland

This is a Full Time position located in the Sales Department with variable/flexible working hours to include weekends, holidays and overtime as required. This is a promotional opportunity. Benefits may be offered after successful completion of a sixty (60) day introductory period. This is an internal/external recruitment.
RESPONSIBILITIES: Under the general direction of the Sales Assistant Manager:
- Assist Sales Department management with the configuration, maintenance and troubleshooting of ticketing system.
- Coordinate with Marketing and Sales Department management to upload new promotional offers, special event tickets, packages, etc. to the ticketing website.
- Adjust daily tour capacities as needed.
- Produce reports from ticketing and hotel computer systems to evaluate and make recommendations; analyze data, research discrepancies, and communicate results.
- Communicate to other departments and management about special tours (early or late tours, large groups, groups that need special assistance, etc.)
- Answer questions via phone and/or email, responding to inquiries for information and route to appropriate person when necessary.
- Consult with the department staff and assist in problem solving.
- Provide instructions to the department through written documentation, emails, and instructions regarding upcoming events, concerts, etc.
- Process payments received by phone, through the mail and from walk in guests.
- Enter data into multi-computerized systems for Graceland and hotel reservations, changes, and cancellations.
- Participate in Department meetings and training as required.
- Correspond with tour operators and group coordinators regarding reservations, confirmations, information and special requests, and send out correspondence and forms via email and mail.
- Act as back up for all functions in the Ticket Office as necessary or required. Including but not limited to: processing payments, answering phones, answering questions, providing information, corresponding with tour groups and tour operators, processing ticket orders,
- Assist with special projects, assignments, and training relating to the Tessitura ticketing system. .
- Other duties as assigned.
REQUIRED SKILLS, KNOWLEDGE AND ABILITIES: Excellent communication and interpersonal skills are essential; Ability to prioritize and work with minimum supervision; ability to work quickly, while maintaining accuracy, quality and effectiveness under pressure and with competing deadlines, numerous interruptions and conflicting demands; knowledge of the city of Memphis and local and regional attractions helpful; written and verbal communication skills: reading skills to understand and interpret complex English text such as that found in regulations, policies, procedures, contracts and memoranda; ability to accurately handle money and make cash and credit card transactions; skills to prioritize and complete a wide variety of tasks in a timely manner; skill to exercise tact and diplomacy during discussions with individuals who may be irate or upset; analytical skills to evaluate given information, research additional information, and evaluate and compile information to clearly define a situation, so a conclusion can be drawn; decision-making skills to ascertain all pertinent facts and implement the most appropriate course of action in a timely, knowledgeable and authoritative manner; public speaking skills to address small and large groups; record-keeping skills to maintain accurate, up-to-date logs and files so that information is readily researched and retrieved; demonstrated knowledge of complex computerized operating systems is required.
SPECIAL CONDITIONS OF EMPLOYMENT: Ability to work weekends, holidays and occasional overtime as needed; ability to maintain confidentiality and objectivity; no smoking in the work area; willingness/ability to travel when necessary; at times work in office alone; handle repetitious tasks; ability to research and learn all aspects of the Tessitura system as required.
PHYSICAL REQUIREMENTS: Ability to stoop, reach, walk, sit and stand for long periods of time; good, clear speaking voice is essential in order to communicate both in person and on the telephone; ability to lift up to 25 pounds.
SPECIAL REQUIREMENTS: Work related experience in hospitality field is required; uniform is required; ability to maintain confidentiality; ability to work with a wide variety of individuals in a team atmosphere; working knowledge of computers and cash handling experience is required. Ability to complete and report on multiple projects at any given time. Proficiency in MS Word, Excel & PowerPoint preferred. Strong presentation skills. Tessitura Ticketing System experience and/or experience working on a computer system is preferred.
